6. Arrival, Exams & Departure (27–30)

1. Application & Admission

1. How can I apply for an exchange at UniMC?

You must first be officially nominated by your home university under an active Erasmus+ or bilateral agreement. Once nominated, you will receive instructions to complete the UniMC online Application Form.

2. When will I receive the application instructions?

After the nomination period, eligible students receive a Welcome Email with the application procedure, deadlines and required documents. Please check your inbox and spam folder regularly.

3. Do I need to sign my Application Form?

Yes. Please follow the instructions in your application confirmation email and return the document duly signed by your home university coordinator.

4. When will I receive my Acceptance Letter?

Acceptance Letters are issued to students requiring a visa once their application has been received and processed.
For EU students, Acceptance Letters are issued upon request of their home university.

5. Can I apply if my university does not have an exchange agreement with UniMC?

Exchange mobility requires an active agreement between the two institutions. If no agreement is currently in place, your home university's International Office may contact UniMC to explore possible cooperation.

2. Courses & Learning Agreement

6. Where can I find the courses available to exchange students?

You can explore our Course Catalogue and search by Department, degree programme, semester and teaching language. A tutorial is available to help you navigate the catalogue.

7. Can I choose courses from different Departments or study levels?

Yes, subject to academic approval. At least 51% of your ECTS credits should normally belong to your reference Department. Courses from different study levels may also be considered if academically appropriate.

8. How many ECTS credits should I take?

UniMC does not normally impose a minimum number of ECTS credits on exchange students. The standard maximum workload is 30 ECTS per semester (60 ECTS per academic year). Your study plan must also meet your home university's requirements.

9. Where can I find class timetables and course information?

Timetables, teaching materials and assessment information are available through the Course Catalogue and lecturers' webpages. Information may be updated before the semester begins, so please check regularly.

10. When should I prepare my Learning Agreement?

We recommend preparing it before your arrival, in agreement with your home university. Your UniMC Erasmus academic coordinator is responsible for reviewing and approving your study plan.

11. Why is my Online Learning Agreement (OLA) still pending approval?

Online approval may only become available after your formal enrolment at UniMC. If your home university requires approval before departure, you may send us a complete PDF version, already signed by you and your home university, for preliminary academic evaluation and signature.

12. Can I change my Learning Agreement after arrival?

Yes. Once the initial Learning Agreement (Before the Mobility) has been approved, you may request changes through the During the Mobility procedure, subject to approval by both universities.

3. Italian Language Requirements & Courses

13. What is the difference between the Italian Entry Test and the General Placement Test?

The Entry Test A1 Erasmus checks the minimum Italian language requirement. The General Placement Test assesses your proficiency level and helps identify the most suitable Italian language course.

14. What happens if I do not pass the Italian Entry Test?

Students who do not reach the minimum A1 level are normally required to attend the intensive Italian A0–A1 course. Specific instructions are provided before the semester begins.

15. Can I attend an Italian language course even if I passed the Entry Test?

Yes! You can take the General Placement Test and attend the extensive Italian language course corresponding to your level, subject to course arrangements.

16. Can I receive ECTS credits for Italian language courses?

Yes. The 40-hour extensive Italian L2 course may award 8 ECTS upon successful completion of the final assessment. You can include it in your Learning Agreement as Corso di lingua e cultura italiana L2 – 8 ECTS, without a specific course code.

If you complete courses at two different levels, a total of 8 ECTS will be awarded for the highest level achieved. The other course will appear as Passed in your Transcript of Records, without additional credits.

17. Who can help me with Italian course placement and schedules?

Prof. Francesco Nati coordinates the Italian L2 courses. You can find course schedules and relevant information on his lecturer webpage.

4. Accommodation & Student Life

18. How can I apply for university accommodation?

You can indicate your interest in university accommodation when completing the UniMC Application Form. Requests are managed by Il Faro Housing, subject to room availability.

19. Is accommodation guaranteed if I select a university residence?

Unfortunately, no. Places are limited, particularly during the second semester, and not all requests can be accommodated. We recommend exploring private accommodation options as well.

20. When will I know if I have been assigned a room?

Students offered accommodation will be contacted directly by the residence managers with booking, payment and check-in instructions. Please monitor your email regularly.

21. Where can I find private accommodation or practical support?

You can explore private accommodation options through the resources listed on our website. ESN Macerata may also provide practical advice and support. Macerata is a relatively small city, with many university buildings within walking distance of the main residential areas and local buses available.

5. Documents, Visa & Enrolment

22. What is the codice fiscale, and how can I obtain it?

The codice fiscale is an Italian tax identification code required for your UniMC enrolment and other administrative procedures. You may request it through the Italian authorities before departure or at the Agenzia delle Entrate once in Italy.

23. Can I use the codice fiscale generated by Universitaly?

The code displayed on Universitaly may not be officially registered with the Italian Revenue Agency. For enrolment purposes, please provide the official document issued by the competent Italian authorities.

24. Do I need to enrol online at UniMC? When will I receive my student credentials?

No. Incoming exchange students do not need to complete the standard enrolment procedure for degree-seeking students. Our offices will process your enrolment once the required documents, including your official codice fiscale, are available. Your UniMC credentials will then be issued.

25. Do I need a visa or residence permit?

Requirements depend on your nationality and the duration of your stay. Non-EU students requiring a visa should follow the relevant Universitaly and consular procedures. Those staying in Italy for more than 90 days are generally required to apply for a permesso di soggiorno within eight working days of arrival.

26. Is health insurance mandatory?

Yes. You must have appropriate health insurance covering the entire duration of your mobility in Italy. EU students may generally use a valid European Health Insurance Card (EHIC), according to the applicable healthcare rules.

6. Arrival, Exams & Departure

27. When should I arrive in Macerata?

We recommend arriving in time for your first classes, allowing a few extra days to settle in. The Welcome Day is a separate orientation event and may take around the beginning of teaching activities across Departments. Please check your course timetables before booking your journey.

28. What is the Arrival Form, and how will I receive my Certificate of Arrival?

The Arrival Form allows our office to collect the information needed to register your arrival and prepare your Erasmus documentation. You may be asked to provide evidence of your actual arrival in Macerata, such as a travel ticket, or to arrange a brief appointment at our office.

Once the information has been verified, your Certificate of Arrival will be prepared and made available according to the arrangements communicated by our office.

29. Can I take my exams before the official examination session?

Exams must normally be taken during official examination sessions to ensure proper registration. If you have specific scheduling constraints, please discuss them with your academic coordinator and the relevant lecturers. Early assessments cannot be guaranteed.

30. When will I receive my Transcript of Records and Certificate of Departure?

Your Transcript of Records can be issued once your examinations have been completed and officially registered. Your Certificate of Departure or End of Stay will be prepared according to the verified dates of your mobility and the relevant end-of-stay procedures.
